Sigtunahöjden Hotell och Konferens AB, corporate ID no. 559039-2279, is the Data Controller for your personal data on our website (www.sigtunahojden.se) and for all of our services. Information about how to contact us can be found in section 11 of this policy, as well as on our website.
3. When do we collect your personal data?
– When you book a conference or hotel room with us
– When you have requested a quotation from us
– When you booked a table in our restaurant or order catering from us
– When you book time in our spa
– When you become employed by us
– When you subscribe to our newsletter
– When you fill out forms to download guides and checklists from our website
– When you chat with us on out website
You may provide us with information about yourself, but we can also obtain such information from our partners or through the booking manager at your company or organisation, or through another third party in connection with the booking of the conference, accommodation or event with us. We believe that in order to fulfil our part of our agreement, we are entitled to process certain personal data without obtaining your explicit consent.
Where it is reasonably practical or where required by applicable legislation, we will obtain your consent before we collect or use your personal data. The request for your consent must be clear and specific and provide you with a reasonable basis on which to make your decision. We never take your consent for granted, but ensure that you can actively consent in a transparent and clear manner. Consent is optional, and you are always entitled to withdraw your consent.
4. What personal data do we collect
The personal data collected by Sigtunahöjden comes mainly from data that you, or someone making a booking on your behalf, provides when booking a conference, hotel stay, weekend or restaurant visit with us. The data we collect in such cases is, above all, data regarding the name and contact details, such as phone number and e-mail address and, if applicable, the employer and the billing address. Where relevant, we also collect data on special diet or special requests in connection with various disabilities.
With regard to our employees, we collect all the necessary information to comply with our legal obligations as an employer.
All processing of your personal data is only for the purposes specified at the time of collection and we will only process the personal data that is relevant and necessary in relation to the purposes for which such data was collected.
We are especially careful if and when we collect and process sensitive personal data in accordance with the requirements of applicable legislation.
We store the data for as long as is necessary to perform a service that you have requested or for which you have given us your consent. We may store the data longer if we are required by law or to protect our legal interests.
5. What do we use personal data for?
The personal data you provide is mainly used by us to provide the services ordered with us, but the data may also be used for informational and marketing purposes.
Sigtunahöjden collects personal data in order to:
1. provide and manage conference, hotel, spa and restaurant bookings at our establishment
2. be able to contact you in the event of problems with a booking or to provide information related to your booking before, during or after your stay
3. market services and events with us
When you apply for a position, we only use your personal data for the purpose for which you provided it. We may save interesting applications even after the recruitment period is over.
6. Who do we pass personal data on?
Sigtunahöjden will not sell, rent or lease any personal data collected. For newsletters and other mailings, we always use technology that ensures that your address is not revealed to other recipients.
Sigtunahöjden can use subcontractors and data may therefore be transferred to these subcontractors. Our subcontractors process your personal data only on our behalf, in accordance with our instructions and only after they have signed a personal data processing agreement.
Sigtunahöjden may disclose personal data to third parties, such as the police or other authority, if disclosure relates to investigation of offences or if Sigtunahöjden is otherwise required to disclose such data in accordance with the law or official decision.
Sigtunahöjden will not transfer data to countries outside the EU/EEA without having informed you of this and, if applicable, you having had the opportunity to consent to such disclosure. However, personal data may be transferred to and processed in a country outside the EU/EEA by a subcontractor. In such situations Sigtunahöjden takes organisational and technical security measures to ensure that personal data is handled securely and with an adequate level of protection comparable with and at the same level as the protection offered within the EU/EEA.
7. How long do we keep your personal data?
We will retain your personal data only as long as necessary to fulfil the purposes specified at the time of collection. That means that we retain the data as long as the customer relationship lasts or until you withdraw your consent. If you have withdrawn your consent, we may still retain certain data during the time required for us to comply with our legal obligations. If we have not received your consent to the processing, the data will only be retained to the extent permitted by law.
8. Links to external websites
Sigtunahöjden’s website may contain links to websites operated or owned by someone other than us. Sigtunahöjden is not responsible for the processing of your personal data on these sites.
10. The right to request information and amendments
If your personal data changes, please inform Sigtunahöjden of this by sending a message to the address shown in point 11.
You are entitled, free of charge, to a record showing which of your personal data Sigtunahöjden processes. The request to view your data must be made in writing to the address in point 11 and must be signed by you and contain information on your name, postal address, telephone number and e-mail address (as used in communication with Sigtunahöjden). The record will be sent to your officially registered address within one month of us having received your request.
You also have the right to request that we delete or amend information related to you. If you believe that Sigtunahöjden is processing your personal data incorrectly, you are entitled to request a restriction of processing. You can, at any time, revoke your consent to further processing (not retroactive) of your personal data by contacting us at the address shown in point 11.
